Connect your sending domain
Connect the business domain your campaigns come from: add the DNS records Inbrovia gives you, check them, and fix any record that does not pass.

Every campaign you send with Inbrovia comes from an address on your own business domain, such as marketing@yourcompany.com. For that to work, mailbox providers need proof that Inbrovia is allowed to send on your behalf. Connecting your domain gives them that proof. You do it once per domain, and adding the records usually takes a few minutes.
You do not need to understand the technology behind it. Inbrovia creates the records for you and checks them when you ask. All you need is access to the place where your domain's DNS settings live, or a colleague who has it.
Before you start
- A business email address on your own domain. Free mailbox addresses such as gmail.com, outlook.com, yahoo.com or icloud.com cannot be used, because they cannot be authenticated for your brand.
- Access to your domain's DNS settings, or someone who has it. These usually live at your domain registrar, your website host or a DNS service such as Cloudflare. If an IT contact or agency manages them, you can still finish the setup yourself and send them the records.
- Permission to manage domains in your Inbrovia workspace. If you do not see a Connect domain button, ask a workspace admin.
Step 1: enter your sender address
During onboarding, enter the address campaigns should come from and select Connect Domain. Later, go to Deliverability, then Domains, and select Connect domain.
On the form, enter the From email and, optionally, a From name (what recipients see as the sender; it defaults to your brand name). Select Continue. Inbrovia checks that the address is valid and on a business domain, then connects the whole domain, so you can add more senders on it later.
Step 2: copy the records
You land on the domain's page. The table Records to add at your domain provider lists each record with its type, name and value, with a Copy button for each name and value. Under each status, a short label says what the record does:
- Required: "Proves you own the domain" and "Signs your campaigns so inboxes trust them" (the DKIM signing records). Campaigns cannot be sent until these are in place.
- Optional: "Routes delivery reports back to Inbrovia" (an MX record), "Authorizes our servers to send for you" (SPF) and "Protects your domain from impersonation" (DMARC). Sending works without them, but your domain is better protected with them, and they count toward your Sender Health score.
| Type | Name | Status |
|---|---|---|
| CNAME | k1._domainkey.acme.com | Verified |
| CNAME | k2._domainkey.acme.com | Verified |
| TXT | _dmarc.acme.com | Verified |
The exact rows depend on your domain. Advanced details, at the bottom of the page, shows the technical name of each check for IT teams.
Step 3: add the records at your DNS provider
Sign in to your DNS provider and open the section for DNS records. For each row in the Inbrovia table, add a record with the same type, name and value. Providers sometimes call the name "host" and the value "points to", "target" or "content". For the MX record, enter the priority shown under its type.
- Paste exactly what Inbrovia shows. A trailing space or a missing character is the most common reason a record fails.
- Many providers add your domain to the end of the name automatically. If a record is rejected or ends up as yourcompany.com.yourcompany.com, enter only the part before your domain.
- Keep your existing records. Inbrovia's SPF and MX records go on a separate subdomain, so they do not replace the records for your normal email. If your domain already has a DMARC record, leave it as it is and skip Inbrovia's DMARC row; an existing DMARC record is accepted.
Step 4: check the records
DNS changes take time to appear, usually minutes but occasionally a few hours. Return to the domain page and select Check again. Inbrovia looks up every record and updates each row:
- In place: the record was found with the right value.
- Not found: the record is missing or has a different value. When something was found, the row shows it under "Found instead".
- Waiting: the record has not been checked yet.
The card title shows how many required records are in place. Press Check again as often as you like. You can also leave and come back: the domain stays on the Domains list with a Finish setup button until it is ready. While you wait, you can build campaigns, preview them and run checks. Only scheduling and test sends wait for the domain.
What the statuses mean
| Status | What it means | Can you send? |
|---|---|---|
| Connecting | Records are ready to add, or still being prepared. | No |
| Checking | Records are being picked up. Check again in a few minutes. | No |
| Ready | Everything is in place. | Yes |
| Needs Attention (amber) | Required records pass, but one or more optional records are missing or failing. | Yes |
| Needs Attention (red) | A required record is missing or incorrect. | No |
| Paused | Sending from this domain is paused. Contact support. | No |

When a check finds the required records, the domain turns Ready, its senders become active and a notification confirms that campaigns can now be sent from the domain.
If a record does not pass
Compare the value under "Found instead" with the expected value. Most failures are a copy and paste mistake or a name with your domain added twice. Correct the record at your DNS provider, wait a few minutes and select Check again. If a row still fails after an hour, send the table, or the Advanced details section, to whoever manages your DNS. They will recognize the format.
After the domain is ready
Add more senders on the same domain from Add a sender on the domain page, and use Make default to choose the sender new campaigns start with. Then keep an eye on Sender Health, which tracks how mailbox providers are likely to see the domain once you start sending. For background on why authentication matters, see email deliverability.
Frequently asked questions
- Can I send from a Gmail or Outlook address?
- No. Free mailbox addresses such as gmail.com, outlook.com, yahoo.com or icloud.com cannot be authenticated for your brand, so Inbrovia asks for an address on a domain you own.
- Does Inbrovia check my records automatically?
- Records are checked when you press Check again on the domain page, or Check now during onboarding. You can press it as often as you like while you wait for DNS changes to appear.
- My domain already has an SPF or DMARC record. Should I replace it?
- No. Leave your existing records in place. Inbrovia's SPF record goes on a separate subdomain, and an existing DMARC record on your domain is accepted, so you do not need to add a second one.
- Can I send while the domain shows Needs Attention?
- It depends on the color. Amber means only optional records are missing, and campaigns can still be sent. Red means a required record is missing or incorrect, and sending waits until it is fixed.
